Share Event Titles Without the Rest of the Details

Free/busy only hides too much once you are juggling several client tenants: a plain "(busy)" block does not tell you which client it belongs to, so you end up opening the source calendar just to check before you book around it. All details reveals too much the other way, carrying notes, attendees and meeting links across an organisation boundary they were never meant to cross. Titles only sits between the two: the copy carries what it is, not what was said about it.

Three levels, not two

Every connection's What to share setting now has three options:

  • Free/busy only - a plain block, titled "(busy)", with no indication of what it is.
  • Titles only - the real event title and its time, nothing else.
  • All details - the title, time, description, location, attendees and any meeting link.

What crosses, and what doesn't

A Titles only copy carries the event's title, its start and end time, and whether it runs all day. It strips the description, the location, every attendee and any conferencing link (a Zoom or Teams link included) before it ever reaches the other calendar. Whoever looks at that calendar can see "Acme Corp - kickoff" and plan around it; they cannot see who else is on the call, where it is, or what it is actually about.

Where this earns its place

A consultant with several client tenants synced into one personal view does not want every block reading "(busy)" - that tells you only that you are unavailable, not why, and a glance at your week stops being useful for deciding what to reschedule. It also does not want full details flowing between two client organisations that have nothing to do with each other. Titles only gives you the one thing you actually needed: which client, or which commitment, a given block belongs to.

Setting it up

  1. Click Add connection, or open an existing connection to edit it.
  2. Pick the Source calendar and Target calendar.
  3. Under What to share, choose Titles only.
  4. Save, and let the first sync reconcile.

This is a per-connection, per-direction choice, so a client calendar synced into your personal one can carry titles while your personal calendar synced back into that client's only shows free/busy, or nothing at all. It is also one of the three choices offered by Connect several when you are setting up more than one pair at a time.

The result

Your week reads like your week, with enough context to plan around it, and the private detail of every meeting stays exactly where it started.

Frequently asked questions

What exactly does Titles only share?
The event's title, its start and end time, and whether it is an all-day event - nothing else. Description, location, attendees and any meeting link are stripped before the copy is written to the other calendar.
How is this different from Free/busy only?
Free/busy only writes a plain block titled "(busy)", with nothing to say what it is. Titles only keeps the real title, so you can tell what the block is for without the rest of the event crossing over.
How is this different from All details?
All details copies everything: notes, location, attendees, meeting links included. Titles only stops at the title and the time.
Can I use Titles only in one direction and something stricter in the other?
Yes. What to share is set per connection and per direction, so one direction can carry titles while the other stays free/busy-only or carries everything.
Does Calendar Family read my event contents to do this?
Sync needs access to event data to copy it, but Titles only strips everything except the title and time before writing the destination event. Your calendar contents are used to sync your calendars and nothing else, with no profiling and no selling.
Is Titles only free?
Yes, it sits alongside Free/busy only and All details on the free tier, not behind a paid plan.
